SYSDO: a simple path to modern time tracking

Still chasing timesheets by e-mail at the end of every month? Still decoding handwritten notes about who left early and who came in on Saturday? SYSDO turns time and attendance into something you check in a few seconds instead of something you reconstruct.

Attendance data only helps you if it arrives on its own. That is the whole idea behind SYSDO: employees clock in the way that fits their job, and managers get one live picture of the whole team.

A schedule you can read at a glance

SYSDO shows attendance as a color-coded timeline, so you do not have to read numbers to understand a day. Blue marks the planned shift. Green marks what actually happened.

If someone is scheduled to start at 7:30 AM, that is the blue bar. When they clock in at 7:19 AM, a green bar appears next to it. One look tells you whether the day went to plan.

The day view lists every event of the shift — clock-in, break start and end, clock-out.

Employees can register attendance in several ways: on a biometric terminal with facial recognition or a fingerprint, on a wall-mounted tablet running the SYSDO terminal app, in the web interface on a computer, or from their phone.

Who is in today?

“Where is Dave?” is a question every manager asks, usually right before it matters. At the dentist? On a customer visit? Was he the one who mentioned vacation?

The presence board answers that in one second — for every employee at once, not one phone call at a time.

The presence board shows every employee as a card with their current status: in the building, not in yet, already gone, at a medical appointment, or out on a customer visit.

Each card carries the status, the time of the last event and the contact details for that person.

Open an individual employee and you get their monthly schedule with icons for each type of absence:

  • Medical bag — medical appointment
  •
  • Car — customer or site visit
  •
  • Silhouette — personal time off
  •
  • And more for vacation, family care leave and sick leave
  •

The same information is in the mobile app, which is what makes it useful for planning — you know who you can count on before you promise anything to a customer.

Flexible enough for how your people actually work

Office, home office, field crews — SYSDO covers all of them from one account, and employees register their presence in whichever way suits the role:

  • On a biometric terminal with facial recognition or a fingerprint, or on a card and fob reader
  •
  • In the web interface on a computer, or on a tablet running the SYSDO terminal app
  •
  • Through the mobile app in the field — it keeps working when the crew is nowhere near the company network
  •

For teams that spend the day on the road, attendance is only half the picture. Pair it with fleet management and you can see both the crew and the vehicles they are in.

Every terminal also accepts a card, a fob or a PIN, so nobody is locked out on day one.

Who gets the most out of SYSDO

Managers get an immediate read on their teams and automated reports they set up once. Payroll stops interpreting comments in a spreadsheet to figure out whether “PTO?” meant paid time off or unpaid. Employees get a transparent record of their own hours that they can check themselves.

Getting started

Setup is short. You enter your company parameters, add employees, and assign each of them to a work shift category that defines their working hours.

A shift template carries the rounding rule, the balancing period and the week's working hours.

SYSDO handles every arrangement you have on the payroll — full-time, part-time, hourly, seasonal staff and 1099 contractors — because the rules live in the shift template, not in the individual record.

Want to see it on your own team first? [TODO]

Next in this series: shift types and working with the planner. Until then, driver identification covers the same idea applied to vehicles — knowing who did what, without anyone writing it down.

Want to see SYSDO running on your own team? We'd be happy to walk you through it.
